Role Purpose

The role of the Examinations Officer is to manage the effective and efficient administration of external examinations in accordance with the Joint Council for Qualifications (JCQ) regulations and/or awarding body rules for exam administration in a consistent and secure fashion, thereby helping to maintain the integrity of the assessment process.

Main Responsibilities:

To act on behalf of, and be the main point of contact for, the centre in matters relating to the general administration of awarding body examinations and assessments
To closely liaise with key stakeholders (external and internal) to ensure exams administration processes are strictly followed and key deadlines are met
To ensure examinations are conducted in accordance with the regulations
Act as the main point of contact for a Centre for all examination and achievement matters and as part of a Data Services & Exams Cluster Team be the main Examination contact for a group of Faculties
Be the expert for all examination and achievement matters maintaining a comprehensive knowledge of exam related rules and regulations via relevant support available from external stakeholders (Awarding bodies/JCQ/Network group/The Exams Office etc.)
Provide detailed advice on College examination procedures and processes. Ensure own knowledge is updated as soon as changes are published
Contribute to the effective planning and oversee the examination process for all learners in a Centre in line with the relevant regulations
To actively support the Head of centre in co-operating with the JCQ Centre Inspection Service, an awarding body or a regulatory authority when subject to an inspection, an investigation or an unannounced visit
Manage arrangements to receive, check and store question papers and examination material safely and securely at all times and for as long as required in accordance with the regulations
Contribute to the creation, review and update of exam-related policies as required by the regulations and accurately reflecting working practices in the centre
Support the ALS and SEND team in implementing examination access arrangements or reasonable adjustments for eligible candidates (processing approval applications and requesting modified papers by the published deadlines)
Register or enter candidates for an examination or assessment in accordance with the awarding bodies’ published procedures and published deadline for that qualification
Liaise with relevant internal stakeholders to ensure final entries/registrations that have been submitted to an awarding body are regularly monitored, submitting timely changes (amendments/withdrawals) to ensure candidates take the correct papers at the correct time and enabling awarding bodies’ to deliver accurate results to the centre
Ensure all candidates are notified of their examination entries and the dates and times of their examinations/assessments in accordance with the regulations
Ensure all candidates are aware of the JCQ and awarding body information and regulations regarding the conduct of their examinations/assessments in advance of these taking place
Effectively manage the conduct of examinations in accordance with JCQ regulations and/or awarding body rules
Ensure all exam accommodation is prepared in accordance with the requirements
Effectively deploy fully trained invigilators to exam rooms according to the requirements
Support the Head of centre in investigating and reporting cases of suspected or actual malpractice in connection with an examination as required by the JCQ and awarding bodies
Maintain the confidentiality and security of candidates’ responses and dispatch scripts according to the requirements
Process registrations / claims with various awarding bodies on a regular basis, ensuring internal and external deadlines are met
Understand awarding body results indicators and provide support for relevant internal stakeholders in accessing results reports/analysis tools

From time-to-time these responsibilities may be reviewed so that they evolve as part of the college’s strategic growth and success. You may also be required to take on other tasks related to the job to support the College in the delivery of its strategic aims, without changing the role's main purpose.

Cross-college Responsibilities

You may be required to participate in cross-college teams and working groups on key projects.

You may need to attend relevant internal committees and groups. This could include preparing and presenting papers as required.

You will act as a role model to colleagues, ensuring that the responsibilities of the post are carried out in line with the College’s FREDIE+ values and behaviours.

Student Related Responsibilities

Anyone who has regular contact with children and young people in their day-to-day responsibilities, must ensure they are safe. You will work with the Safeguarding Team, ensuring concerns regarding students/apprentices are shared in a timely, accurate manner
You will be involved in supporting college open days, supporting during the exam season, student enrolment and any other required events

Other Responsibilities
